Outlook Email Signature Configuration

Use these instructions to create the recommend email signature appended in emails generated via the Adapt/ Outlook integration. Images embedded within Outlook Email signatures will not display correctly so this workflow will show you how to design a signature in HTML with a link to a Web accessible image.

 

1)     Open Microsoft Outlook, click the File tab, Options and then Mail.

2)     Click on the Compose messages in this format droplist (located in the Compose messages section) and choose HTML.

3)     Click on Signatures... button to open the Signatures and Stationary dialog.

4)     Click on New to create a new Signature.

5)     Name this signature Adapt; this will place the signature at the top of the available signatures list. Note: emails generated from Adapt will be appended with the first signature found in your available signatures list.

 

 


6)     In the Edit Signature text box add the necessary text and apply desired formatting.
 

 

7)     Click the Insert Picture Icon to open a file picker dialog. Note: you will need the Web Accessible URL (public link) for the image you will link to in the next step.

8)     In the File Name field paste the url for the image you want to add to your signature.

 

 

9)     Click the down arrow next to insert and select Link to File. This will place the image in your signature via the web accessible url. Have Patience. The link will take a few moments as it places a straight forward HTML image tag in your signature.

 

 

10)  You are returned to the Signature dialog where you can add additional images or hyperlinks as desired.

 

Note: adding hyperlinks to linked images may cause image distortion. If you want to hyperlink an image (ex: link a facebook image to your facebook page) you may want to add that link beside or below the image to avoid this distortion.

 

 

11)  Click Save on the available signature list and then click Ok to exit from the workflow.

12)  Emails containing images in the signature will display the same when the email is generated in both Adapt and MS Outlook.
