User Defined Fields

A User Defined Field is a field that can be used to house data not kept anywhere else on a record. You define the type of field it is (text, numeric, code selection, date) and you define what data you want to collect. For example, AdaptSuite does not have a field on the Candidate record to store hair color. You could set up a User Defined Field to keep track of the hair color of your candidates.

 

The User Defined Fields segment is available for Candidates, Contacts, Clients, Contract Jobs, Direct Jobs, Contract Job Opportunities and Direct Job Opportunities.

 

The segment is made up of two sections: User Defined Fields and User Defined Notes.

 

User Defined Fields Section

The User Defined Fields section is made up of various system-delivered fields that can be used for your own purposes. You can search on each of the fields. It looks like this (NOTE: This screen shot is from a Candidate record...so field names of other entities will be slightly different):

 

The UDF <Entity> Code fields are single code select fields. In other words, you can click on the icon and select one of the codes listed. The selectable codes themselves are entered via Administration > Manage Lists.

 

The UDF <Entity> Multi fields are multi-code select fields. In other words, you can click on the plus (+) symbol below the box and select multiple codes. You can also delete codes from the box by clicking on the code and then clicking the "X" symbol. The selectable codes themselves are entered via Administration > Manage Lists.

 

The UDF Numeric fields only allow numbers. Any text you enter in the field will be removed once you tab out of the field or click Save. The fields are formatted for dollar amounts. You can have up to 6 digits to the left of the decimal and 2 digits to the right. Therefore, entering 3375 will display as "3,375.00". Entering 123.456 will display as "123.46".

The UDF <Entity> URL fields are for web addresses. There are two fields. Only Candidate, Company and Job Order records have these fields.

 

User Defined Notes Section

The User Defined Notes section contains user-defined fields set up in the Administration area. You may edit these fields, add documents, remove documents and print documents from here.
