Task Dashboard
The Task Dashboard is used to keep track of follow-up items for Candidates, Clients, Contacts, Job Orders and Assignments.
Selecting Tasks to Display
You may view tasks assigned to you, other users, or groups.
- To view tasks assigned to you, select the User Task radio button and select My Task from the drop-list.
- To view tasks assigned to another user, select the User Task radio button and select the user from the drop-list.
- To view tasks assigned to a group, select the Group Task radio button and select the group using the drop-list.
Rescheduling Task Due Date
You can reschedule the due date of a task by first selecting the task (by clicking in the box to the left of the task's row) and then clicking the Reschedule drop-list to select to move the due date out 1 day, 1 week or 1 month. You can also move the date to a specific date by selecting Date and then choosing the new date from a calendar.
Completing the Task
You can mark a task as complete by selecting the task (by clicking in the box to the left of the task's row) and then clicking Complete option.
Performing Batch Workflows on a Task
If configured, you can perform batch workflows on a task by first selecting the task (by clicking in the box to the left of the task's row) and then clicking the Batch Menu drop-list. Select the workflow you want to run from the list provided.
Adding a New Task
You can add a new task to the list by clicking the Add option. This opens a new window allowing you to add information for the new task.
Adding/Removing Columns from the Task List
To see more (or less) information on the Task grid, click Reformat. This opens a window allowing you to select columns you want to add (or remove) from the grid.
Refreshing the Task Grid
To refresh the grid with the latest assigned tasks, click Refresh.
Filtering the Grid
You can filter the information on the grid by clicking Filter. You can filter in 4 ways:
- By Date: You can filter on either the Due Date, Start Date or Completed Date range.
- By Text: You can filter on the text contained in the Notes or Subject fields by entering a word that MUST appear in either the Notes or Subject field.
- By Status: You can filter by task status so that the grid only shows tasks of a certain status (or tasks that do not have a certain status).
- Priority: You can filter by the priority of the task so that the grid only shows tasks with a certain priority (or tasks without a certain priority).
Note: When filtering the grid, all options work using AND logic. Therefore, if you filter by Due Date and Status, then the task must meet BOTH requirements in order to appear on the grid.
Synchronizing Tasks with Outlook
You can synchronize your Adapt tasks with your Outlook tasks by clicking the Synchronize option in the upper right of the Task Dashboard.
Upon clicking the button, a new window displays allowing you to select the range of dates you want to synchronize. You can either select the From and To date or user the drop-list on the Quick-Sync Options field to select ranges like Today, This month, This year, etc.
Upon click Start, any items on your Adapt Task Dashboard on the selected dates are sent to Outlook and any items on your Outlook tasks are sent to Adapt.
Note: You may receive a message from Outlook asking you to allow Adapt to access Outlook. When this message appears, select the Allow option.
Getting More Information About the Task
One way to get more information about a specific task is to hover your mouse cursor over the task. A small window displays showing you detail about the task.
If there is a note icon next to the task, you can hover over the icon to read the note associated with the task.
You can click on the task itself (Subject column) to go directly to the Task record.
Finally, clicking in any blank area on a row of a task displays information in the Preview panel (located below the task grid).
Accessing Records Linked to the Task
To access records linked to the task, hover your mouse cursor over the Links icon in the Links column of the selected task. A small window displays all records linked to the task. Click on an item in the list to jump directly to that record.
Performing Activities on a Task
In order to perform specific workflows on a task, hover your mouse cursor over the Activities icon in the Activities column of the selected task. A small window displays all available workflows. Click on a workflow to access the functionality.
