Manage File Retrieval Permissions
The Manage File Permissions segment allows you to set file permission for the following file types:
- Direct Deposit Transmission
- GL Export
- Government Reporting
- Positive Pay Report (PosPay Report)
- Broadbean Potential Duplicates
- WOTC Payroll File
Note: All the files listed are specific to Back Office except for Broadbean Potential Duplicates.
You can also determine the date the files are purged from the File Retrieval list.
These permissions control access to files using the File Retrieval option in the My Adapt menu.
This option assigns a permission level to each file type. A specific Security Profile is give permission to a level via the Manage Security Profiles segment.
Accessing This Segment
To access the Manage File Retrieval Permissions segment:
- Select Administration.
- From the Administration fly-out menu, select Administration.
- From the Administration page, select Manage Security Profiles.
- From the Manage Security Profiles page, select the Manage File Retrieval Permissions segment.
Setting Permission Levels and Purge Date
- Select one of the File Types on the list by clicking in the radio button in the first column of the File Type's row.
- Click Edit.
- The Edit File Retrieval Permission window displays.
- The File Type field defaults to the File Type selected on the Manage File Retrieval Permissions grid. This is read-only.
- In the Permissions field, use the Code Selection icon to choose whether you want to assign Level 1, Level 2 or Level 3 retrieval access. The User must have a Security Profile with the matching permission assigned in order to access the file. You can also select "No File Retrieval Access" if you do not want a File Type retrieved.

In the Purge After field, use the Code Selection icon to select a number of days after the file is generated that it is removed from the File Retrieval list.
Note: This represents a "soft purge". In other words, the file is removed from the retrieval list but still available on the server. Once the file is removed from the list, you could still edit this field to select a larger number of days and the file will once again display on the File Retrieval list. At some point agreed upon by you and Bullhorn Support, the file will undergo a "hard purge" and be removed from the server.
- When you are satisfied with your selections, click Confirm.
