File Retrieval

File Retrieval allows SaaS customers to directly download queue generated file/process types without needing to contact Adapt Support.

Permissions to retrieve files are based on a combination of the access level assigned to the file type (see Manage File Retrieval Permissions) and the access level given to the security profile (see Change Permissions) assigned to the user.

Accessing File Retrieval

  1. Select the My Adapt menu item.
  2. Select File Retrieval from the menu item list.

The File Retrieval screen displays. The following information displays:

  • Filename
  • Process Type (Direct Deposit Transmission, GL Export, Government Reporting, PosPay Report, Broadbean Potential Duplicates and WOTC Payroll File).

    Note: All file types are specific to Back Office except for the Broadbean Potential Duplicates type.

  • Date Generated
  • File Size
  • Purge Date: Indicates when the file will be removed from the File Retrieval list. This date is based on Manage Security Profile selections in Administration.

    Note: This purge date indicates when a "soft purge" occurs. A "soft purge" removes the file from the File Retrieval grid but does not remove the actual file from the server. At a point agreed upon by you and Bullhorn, all "soft purge" files will be "hard purged" (wherein the file is deleted from the server).

You can type in the fields below the column headers to filter the information on the screen. The screen results filter as you are typing. The data you type can be at the beginning, end or middle of the result. Thus, typing "Ex" in the Process Type filter field will display all "GL Export" types.

You can take the following actions on the screen:

  • Show/Hide Filters: This button toggles the filter fields on and off. Toggling a filter off does not remove the filter already in place.
  • Clear All Filters: Removes all filters on all columns.
  • Download; This downloads the file to your computer. At this point, your browser takes over. Therefore, the dialog that displays (or does not display) depends on your browser (Internet Explorer, Firefox or Chrome).
  • Delete: This performs a "hard purge" in that the file is deleted from the server. A message displays to confirm the action as it cannot be undone. Once a file is deleted, it cannot be retrieved.
