How to Use OnLine Help

Add Invoice Sales Adjustment allows you to make adjustments to the amount of an invoice. For example, if a customer was accidentally overcharged, you could issue a corrected invoice using Invoice Sales Adjustment.

NOTE: Invoice Sales Adjustment affects your sales figures. If you simply want to change the amount a company owes without affecting your sales figures, use Add A/R Adjustment.

Adding an Invoice Sales Adjustment

  1. Add a timesheet for the original assignment(s) invoiced.

  1. There are two ways to adjust the invoice.

  2. Enter 0.00 in the Total Hours field. In the Wage Grid, select the PayBill code that needs adjusting in the Wage column. Zero out all information in the Pay row. In the Bill row, enter a minus number matching the hours on the original invoice. For example, if 40 hours were billed incorrectly, enter -40.00 in the Total column. Make sure the Rate column has the originally billed amount (if not, you can edit it). Next, on the rows below, enter the exact same information, except enter a positive number of hours in the Totals column and the corrected Rate in the Rate column.

For example: A customer calls to tell you that you billed her 14.75/hour when the salesperson had quoted 14.50/hour.

  1. Conversely, you can use the "one line" method if you want to only adjust the invoice's bill hours. For example, let's say a customer calls and says that you billed her the correct amount (14.75), but you charged her for 40 hours when you should have charged her for only 38. NOTE: While this method works, Bond recommends using the first option as it is clearer on the invoice and works with the current Invoice Sales Adjustment report.

  2. Click .

  1. In the Original Invoice field, enter the invoice number that is being corrected or click to look up an invoice (if you don't know the original number).

  1. When you are satisfied with the information you have entered, click the button to save the invoice sales adjustment or click the button to close the window without saving any information.

NOTE: Click the button to clear the Original Invoice field and remove the association between the adjustment and the invoice.
