Title Security allows you to determine the screens and activities a specific title can access.
In order to understand Title Security, it is important to understand the difference between a template and a title:
A template defines the screen functions to which a title has access. For example, the Coordinator template allows access to different screen functions than the Receptionist template.
A title is simply the name you have given to the template. For example, you may use the term "Service Manager" instead of "Coordinator". StaffSuite allows you to change the title of the Coordinator template to "Service Manager". Thus, the title has changed to Service Manager, but you are still using the Coordinator template.
Various titles/templates are included with StaffSuite (coordinator, owner, sales rep, etc.). While you may add templates, we suggest against it. Any updates to system security in future releases of the software will only affect the standard templates that come with the system. Any user-created templates will not be updated. Setting Up Title Security
On the Valid Titles grid, select the title you want to edit. The grid shows whether the title is currently active (in other words, whether a rep can be assigned the title) and whether the title was system generated (S) or user generated (U). You can activate/deactivate a title by clicking in the Active column checkbox for the title. A check indicates that the title is active.
The Title and Template fields display the currently selected title and template (based on the title you selected in the Valid Titles grid).
The Screen Functions tree structure window displays the various categories, screens, and functions in the StaffSuite system. This is where you set up which screens and functions can be accessed by a specific title. Clicking on a checkbox toggles access between full (normal checkmark) and none (no checkmark).
A normal checkmark beside a category, screen, or function indicates that the selected title has full access to that category, screen, or function, including everything "below" that category, screen, or function. For example, if there is a normal checkmark in Assignment Actions, then the title has access to ALL Assignment Actions.
A shaded checkmark indicates the title has access to some, but not all, of the functions under the checked heading. For example, if there is a shaded checkmark in Assignment Actions, then the title has access to SOME Assignment Actions, but not others.
A blank box indicates the title has no access to this area.
To display the subcomponents of a category or area, click the plus (+) symbol. To hide subcomponents, click the minus (-) symbol.
When you are comfortable with the changes made and want to save your changes, click OK. If you want to close the window without saving your changes, click Cancel.
