Wage Code Translations displays a grid of all current wage code translations used for timesheet import files/TempBuddy integration. You can add new, edit existing, or delete obsolete translations.

NOTE: You can import a timesheet file without having your wage code translations set up, BUT you cannot process the imported timesheets until all your wage code translations are set up.

NOTE: StaffSuite requires the following specific wage and expense codes be mapped for TimeKeeper in order to retrieve approved timesheets: Regular, Overtime, Doubletime, Mileage, Parking, Per diem, Housing and Other.

TempBuddy: In order to integrate with TempBuddy, steps need to be taken within both StaffSuite and TempBuddy to ensure that the two are able to communicate with each other. This is the step that matches PayBill Codes in StaffSuite with Rule Names in TempBuddy.

Other steps in the process include (click on the link to get more information on each step):

• Setting Up TempBuddy Account Information

• Configuring the Scheduler in StaffSuite

  The Scheduler must be activated to ensure the smooth and regular flow of data between StaffSuite and TempBuddy.

  This step will typically be performed by Bond Customer Support.  Call them once you have set up your TempBuddy Account (see Step 1) and have run a successful test.

• Setting Up Categories in TempBuddy

  Since Service Lines in StaffSuite contain information important to the Assignment, there needs to be a link between StaffSuite’s Service Lines and data within TempBuddy. This is accomplished through TempBuddy Categories. Thus, StaffSuite Service Lines and TempBuddy Categories must match exactly. The following step walks you through setting up Categories in TempBuddy.

  1. In TempBuddy, select Settings.

  2. Select the Custom Attributes tab.

  3. Scroll down until you see Tags and Categories. 

  4. Add New or edit existing Categories to match the list of ACTIVE Service Lines in StaffSuite.

  Note:  These Categories must match the Service Lines list in StaffSuite.

• Setting Up Templates/Rules in TempBuddy

  In order to correctly produce timesheets, StaffSuite and TempBuddy must be able to translate wage codes so that each understands the other. This is accomplished through two steps. The first is creating Templates/Rules in TempBuddy and the second is setting up Wage Code Translations in StaffSuite.

  1. In TempBuddy, select Settings.

  2. Select the Complex Billing Templates Tab.

  3. Click the Add New Template button.

  4. Enter a Template Name and leave the defaults as they are unless you are adding a Daily incentive.  If so, edit the Billing type to Per Day.

  5. Click “New” next to Rules

  6. Enter a Name for each Rule. The name of the rule must match the associated Wage Code in StaffSuite.

  7. If using a multiplier like 1.5 (time and a half) for OT, select Type = Multiplier.

  8. Add Criteria and Rates. 

  9. Click Next, Validate and Finish.

  10. Repeat steps 5 – 9 until all related Rules are setup.

• Exporting Data from StaffSuite to TempBuddy

  Once all of the other steps have been accomplished, you can begin to send data from StaffSuite to TempBuddy. While you can do it on an individual record basis, it is easier to send records en masse. This action is preformed from the grids associated with the records you are sending

  NOTE: Employees sent to TempBuddy should be fully qualified and ready to be put to work. Companies and Company Reps should be selected based on those that fit the TempBuddy functionality.

  From Employee, Company or Company Rep search results, select the records you want to send, right click and choose “Send to TempBuddy”.

  Some items to consider:

  • If an entity does not have required data for the export/import, an error message will indicate the records that are in error.

  • If a Company Division or Location is sent to TempBuddy and the Parent Company has not yet been sent, it will get sent by Default.  Likewise, if a Company Rep is sent to TempBuddy and the Company has not yet been sent, it will get sent by Default.

  • If you need more information as to why an entity is in error, attempt to send the entity individually. If there is an error, the message will specify the specific information missing from the entity record.

About Wage Code Translations

The initial grid is sorted by vendor name (in alphabetical order, from A to Z). You can click on a column's right border to make the column larger or smaller (click the border, hold the mouse button down, move the border, release the mouse button). Also, you can right click on any column in the grid and receive three options:

• Sort Ascending: Sorts 0 to 9 and A to Z.

• Sort Descending: Sorts 9 to 0 and Z to A.

• Save Layout: Saves any changes you have made to the layout.

The following columns are located on the grid:

• Vendor: Identifies the vendor for which this wage code translation was entered. Options are Amano - Specific, FasTime - Emp ID, FasTime - SSN, TempBuddy and TimeKeeper.

• Hour Type: Identifies the StaffSuite PayBill code Hour Type that corresponds to the timesheet import vendor's wage code or the TempBuddy rule in the File Name column. Options are Direct Hire Billing, Doubletime, Other, Overtime, Regular, Tips, and Triple Time.

• File Name: Identifies the filename of the timesheet import vendor's wage code or TempBuddy rule that corresponds to the StaffSuite PayBill code Hour Type listed in the Hour Type column.

• Interface Code: Identifies the StaffSuite PayBill code's Interface Code that corresponds to the timesheet vendor's wage code or TempBuddy rule  in the File Name column. The Interface Code is created when you add a PayBill Code.

Adding a Wage Code Translation

1. Click .

2. The Wage Code Translations window displays.

Editing a Wage Code Translation

1. Select the translation that you want to edit (by clicking on it).

2. Click .

3. The Wage Code Translations window displays.

Removing a Wage Code Translation

1. Select the translation that you want to delete (by clicking on it).

2. Click .

3. The translation is deleted.
