Determining Security Access |
StaffSuite uses a combination of methods for setting security on the various functions in the application:
Branch access
Access by staffing service rep
Navigator access
Function access
Branch Access
Each staffing service defines if a branch can view all other branches or only certain other branches (or only its own branch). Full branch access is the default, but is easily changed if necessary.
These accesses become the default branch access security level when adding a new staffing service rep. In other words, a staffing service rep has the same branch access as their home branch. If the home branch can access branches A, B, and C, then any rep in the home branch can access branches A, B, and C. StaffSuite then takes a second step by looking at the rep's title. The rep's title (owner, coordinator, etc.) defaults as the title valid for all of the selected branches.
An Example
Let's say you have determined that branch A has access to branches A, B, and C. If a rep is added to branch A, that rep also has access to branches A, B, and C (since the rep has the same access as their home branch).
Now, let's suppose that the rep is a coordinator. Each time the rep accesses either branch A, B, or C, the system will give them coordinator rights (since the rep's title defaults as the title in all accessible branches). Thus, if a coordinator in branch B is able to access all commands, the new rep would be able to access all commands in branch B. However, if a coordinator in branch C is only able to access Employee commands, then the new rep would have the same restriction in branch C.
StaffSuite allows you to change titles by branch. In other words, if you wanted the rep in the sample above to have coordinator access in branches A and B, but only receptionist access in branch C, you can do so. In addition, you can edit the branches to which a specific rep has access. Thus, while our sample rep would, by default, have access to branches A, B, and C, you can remove security access to branch B or C (or both).
Staffing Service Rep Access
An individual staffing service rep can be assigned security to a menu item on the Navigator. For example, in the case of Assignment Mass Field Update, security is set up in a table that lists each rep and each of the functions that can be mass updated on a number of assignments at once. A rep is given permission to mass update specific fields.
Navigator Access
Title Security to the navigator tree allows a rep to only see those functions on the Navigator that they have permission to perform.. The title or role of the rep will dictate what functions they have permission to access in StaffSuite. For example, a coordinator needs access to different functions than a Branch Manager and therefore, the roles have different access templates.
Of course, not all actions and views are accessed from the Navigator. Some are accessed using the Ribbon and others from buttons and icons on the various windows. In these cases, users without sufficient permission will receive a security message when they attempt to access data or an action for which they do not have permission.
Bond provides you with a template for a variety of titles. Of course, you can edit these templates to add or delete permissions to specific functions or windows on the system.
Functional Access
Certain functions within StaffSuite can have restricted access, even if they do not appear on the Navigator. For example, Mass Activity Complete is restricted through Title Security so that only reps with a certain title will have the Mass Activity Complete button enabled.
To Sum It Up
These security features combine to create a system that is powerful enough to integrate speed with specifics. If you want a rep to have standard access, the system automatically takes care of that when the rep is added to the system. However, if you want a specific rep to have accesses that no one else has, the system is powerful enough to allow you to give ANY rep ANY level of security to ANY part of the system.
