How to Use OnLine Help

Timesheet Import allows you to import timesheets from timesheet entry programs outside of StaffSuite that collect time and attendance information from your employees. Some timesheet vendors prepare an import file that you can import into StaffSuite to create timesheets using the Import Data File functionality. You specify the Vendor Type and locate the Import file. Once the file is imported, you may create timesheets either automatically or manually for one, some, or all of the imported transactions. These timesheets can be created in a new batch or added to an existing batch.

NOTE: This option is not used for the TimeKeeper Time and Attendance module which is a web-based timesheet management system from Bond that interfaces with StaffSuite in an ASP environment to send assignment information including company, company rep and employee records to TimeKeeper, and retrieve the finished and approved timesheets for payroll processing.

Before Importing the Data File

Before you use the Import File functionality, you need to set up some defaults so the system can correctly read the Import file. The procedures necessary to prepare the files for importing depends on the type of file:

Amano's TruTime®: Set up your Wage Code Translations in the System Administration division of StaffSuite.

Ti3's FasTime™: Set up your Wage Code Translations in the System Administration division of StaffSuite. In addition, you should make sure that the Report file and all Company and Assignment defaults are correct for the imported file. This information is sent to Ti3 in the form of an Export file that is sent out BEFORE the import file comes to you.

NOTE: We strongly recommend calling Bond Support to assist you with preparing your system to receive an import file. In most cases, you will only need to do this once.

Importing Time and Attendance System Files

  1. In the Format Type field, use to select the provider of the import file (e.g., FasTime - SSN, Amano - Specific or FasTime - Emp Id).

  2. In the Import File field, use to select the location and name of the time and attendance import file. Clicking on the button opens a basic Windows' Open dialog allowing you to navigate to the location of the file.

  3. When you are satisfied with the information you have entered, click the button. If you want to close the window without selecting a time and attendance import file, click .

  4. A grid displays with all transactions found in the import file. You have the following options:

  5. Click the checkbox in the Select column to select/deselect a transaction. A check in the box indicates that this transaction has been marked for timesheet creation (either automatically or manually). An unchecked box indicates that this transaction will not be marked for timesheet creation.

  6. Click to check all checkboxes in the Select column.

  7. Click to clear all checkboxes in the Select column

  8. Click to tell StaffSuite PayBill to attempt to automatically create timesheets from the selected transactions.

  9. Click to tell StaffSuite PayBill that you want to manually create a timesheet for the selected transaction.

  1. Once you click or , the system prompts you to select a batch.

  2. If you want to create timesheets in a new batch, click . The Add Batch window will display allowing you to assign a Batch ID number.

  3. If you want to add timesheets to an existing batch, use the drop down list to select a batch from the list of editable timesheet batches displayed.

  4. If you do not want to create timesheets for the selected transactions, click .

  1. If you are creating timesheets automatically, the system will begin processing the transactions. When it is finished, the system will display a window detailing the batch number and number of timesheets successfully created. It will also list the numbers of transactions that failed to generate timesheets. If this occurs, you can use the Transaction Management functionality to add these failed transactions manually.

If you are creating timesheets manually, you will be taken to the Timesheet Add window so that you can complete the timesheet. Basic information (like hours worked) will default into the timesheet from the transaction file. Other information about the transaction can be found by clicking the Details/Notes button.

  1. That's it. Don't forget! You still need to post and proof the timesheets before running your payroll and billing processes.
